Infor FACTS, CSD/SX.e, and A+ are built to support complex distribution and manufacturing operations. But when performance slows, downtime increases, or systems feel harder to manage, the root cause often isn’t the ERP—it’s the infrastructure behind it.

In high-volume environments, even small disruptions can impact order processing, inventory accuracy, and customer experience.

This session focuses on how distribution and manufacturing companies are rethinking IT to support operational performance—not just maintain systems.

We’ll discuss:

We’ll also walk through how UltimatePLUS Managed IT Services provides a proactive, fully managed approach to monitoring, security, support, and long-term infrastructure planning.

If your system works—but your environment feels strained—this session will help you understand why.

The Story

TM Heating and Cooling, an HVAC contractor based in Narvon, Pennsylvania, operates a multifaceted business that spans commercial construction, residential work, and ongoing service operations. As the company grew more complex, leadership recognized that their legacy system could no longer support all aspects of the business under one roof.

To create a more connected, scalable operation, TM Heating and Cooling partnered with Aktion to implement the Acumatica Construction Edition. The result is a unified ERP platform that connects inventory, payroll, construction projects, and service work, providing the team with real-time visibility and the flexibility to grow without constantly changing systems.

We needed something that could handle all sides of our business—construction, service, payroll, and inventory—in one system. Acumatica gave us that.

Key Results

The Challenges

Before Acumatica, TM Heating and Cooling relied on a locally developed accounting system that worked well for smaller, simpler operations, but struggled as the business evolved. Managing construction projects, service work, inventory, and payroll across one platform became increasingly difficult. The system lacked the flexibility needed to support multiple operational workflows, particularly as the company balanced both long-term construction projects and high[1]volume service work. Leadership needed a solution that could bring everything together without forcing the business into separate systems or disconnected processes.

It wasn’t just about growth in headcount—it was about being able to manage all the different parts of the company under one umbrella.
Brian Zelinski
General Manager

The Solution

TM Heating and Cooling selected Acumatica Construction Edition to provide a modern, cloud-based ERP that can handle both construction and service operations. Aktion partnered closely with the TM team throughout implementation, helping guide the organization through training, configuration, and go-live. One key aspect of the implementation strategy was keeping the system as close to standard as possible. Rather than relying on heavy customizations, the team focused on learning Acumatica’s core functionality, ensuring long-term stability and smoother upgrades. Aktion consultants played a critical role in enabling the team to understand the system deeply, empowering internal users to solve many challenges independently while still providing expert support when needed.

Standout Capabilities

Connected Construction and Service Operations: TM Heating and Cooling now manages both construction projects and service work within a single ERP environment. Inventory flows seamlessly from the warehouse to job sites and service technicians, while service callbacks can be linked directly back to original construction projects.

"We can tie service callbacks back to the original project and see the full picture of costs and profitability—even after the job is complete."

Improved Inventory and Job Cost Visibility: The inventory used for construction installs and service calls is tracked centrally, allowing the team to manage purchasing, usage, and availability with greater accuracy.

"Inventory links nicely across construction and service. That’s been a big benefit for us."

Payroll Across Teams: Payroll for installation crews and service technicians is handled within Acumatica, simplifying processes and ensuring consistency across the organization.

Faster Payments with Acumatica Payments: TM Heating and Cooling was an early adopter of Acumatica Payments, using QR codes and embedded payment links on invoices to make it easier for customers to pay.

"Customers can just scan the QR code or click the link and pay. It’s reduced the time it takes for us to receive payments significantly."

This innovation was even highlighted at Acumatica Summit 2023, showcasing TM Heating and Cooling as a forward-thinking customer.

The Aktion Partnership

A major factor in TM Heating and Cooling’s success has been the enablement-focused approach taken by Aktion. Rather than creating dependency, Aktion consultants helped train the team to confidently use Acumatica, leverage Acumatica University, and engage with the broader user community.

Aktion helped us learn the system so we could solve many issues ourselves. When something is above my head, that’s when I bring them in—and they’re always there to help.
Brian Zelinski | TM Heating & Cooling
General Manager

By keeping the system streamlined and empowering internal users, TM Heating and Cooling rarely experiences disruption during upgrades and avoids unnecessary complexity. “That early training made a huge difference. It set us up for long-term success.”

Ongoing Partnership

Today, TM Heating and Cooling continues to operate efficiently on Acumatica, with confidence that the platform can grow alongside the business. With a team of approximately 22 employees spanning a wide range of experience levels, Acumatica supports users across generations and roles. “It’s something any age group can learn if they’re willing to. Our team has adapted really well.” Looking ahead, the company sees opportunities to expand its use of Acumatica as new features and enhancements are released, especially on the service side. “The options for growth are there. That’s what excites me about Acumatica.”

The Bottom Line

By partnering with Aktion and implementing Acumatica Construction Edition, TM Heating and Cooling replaced a limiting legacy system with a unified, scalable ERP platform. The company now operates with greater visibility across construction, service, inventory, payroll, and payments, all supported by a partner that prioritizes long-term success.

For us, Acumatica just works. It fits the needs of our business today and gives us room to grow tomorrow.

Headquartered in Salisbury, North Carolina, TeamCraft Roofing is a major commercial roofing contractor serving the Southeast U.S. After separating from its parent company, TeamCraft faced the challenge of standing up an entirely new technology environment—while continuing to support rapid growth and complex operations across dozens of locations.

The company needed more than a system replacement. TeamCraft sought a modern, cloud‑first technology foundation that could deliver operational efficiency, security resilience, and long‑term scalability.

With outdated systems, high IT costs, and growing cybersecurity risks, TeamCraft knew incremental fixes wouldn’t be enough. Leadership needed a strategic partner to guide a complete modernization—spanning ERP, infrastructure, security, and ongoing IT support.

Real Results, Fast Impact

Working with Aktion Associates, TeamCraft Roofing achieved:

When Aktion got involved, it was like going from the dark ages to 2025.
Jeff Farlow
Chief Administrative Officer, TeamCraft Roofing

The Challenge

Prior to partnering with Aktion, TeamCraft operated under a highly restrictive IT model. The entire infrastructure was centralized in a physical data center housing more than 70 servers supporting three business divisions and 58 locations.

The company’s former IT provider charged high fees while offering limited flexibility and little strategic guidance. At the same time, TeamCraft’s ERP—Sage 300 CRE—had been customized to the point of becoming unsustainable. Without open APIs, integrations were complex, fragile, and costly to maintain.

As TeamCraft experienced unprecedented growth, leadership urgently needed a new ERP and a more flexible, secure IT environment to support the business.

The Solution

Why Acumatica Construction Edition and Aktion

TeamCraft selected Acumatica Construction Edition for its cloud‑native architecture, modern user experience, and flexible API framework. Aktion Associates was chosen not only as the ERP implementation partner, but as a full‑service IT advisor capable of managing the entire transformation.

Other vendors balked at how customized our Sage environment was. Aktion rolled up their sleeves and got to work.
Lane Farrell
Vice President, TeamCraft Roofing

Aktion’s role extended well beyond ERP implementation. They led every aspect of TeamCraft’s transion.

ERP Advisory & Implementation

Aktion assigned experienced construction ERP consultants who understood the realities of the roofing industry. From early scoping through configuration and training, the Acumatica deployment was tailored to how TeamCraft actually operates—not just standard software workflows.

Migration Strategy

Aktion developed a detailed migration plan that accounted for TeamCraft’s highly customized Sage environment. After early challenges, the project gained momentum with the involvement of senior consultants who brought clarity, stability, and deep construction ERP expertise.

Managed IT & Cybersecurity Services

Aktion designed and deployed a cloud‑first IT environment, including:

  • SentinelOne endpoint protection
  • Multi‑factor authentication
  • Hardened Microsoft 365 tenant configurations aligned with best‑practice security standards
Aktion said no one else had gone as far as we were planning with Microsoft security settings. We did it—and now other customers are following our lead.
Jeff Farlow
Chief Admin Officer

Dedicated Support & Strategic Guidance

TeamCraft benefited from responsive, personalized support through Aktion’s Service team. The team maintained consistent communication with internal IT leadership, provided proactive threat monitoring, quickly resolved user issues, and helped streamline day-to-day IT operations. This collaborative, transparent approach ensured TeamCraft had the guidance and responsiveness needed to maintain business continuity and security.

Aktion also provides continuous strategic guidance around licensing, device strategy, Microsoft 365 management, and user access policies—ensuring the entire technology stack supports long‑term business goals.

Ongoing Partnership

Today, TeamCraft operates in a modern, cloud‑based environment that improves data visibility, keeps users productive, and protects the organization against evolving threats. Monthly check‑ins and open communication with Aktion’s customer success team remain a cornerstone of the partnership.

Even when things went sideways early on, Aktion didn’t walk away. They escalated, regrouped, and delivered. That’s what real partners do.

Smart Renovations has many remote users, so Acumatica’s true-cloud platform appealed to them. Their project managers use the product remotely to report and date the job costing.

A growing contractor needs to track costs and manage billing. Smart Renovations is a fast-growing historic renovation contractor. This skillset has led them to expand into a more traditional general contracting company. John Smart and Dominic Volpe are Smart Renovations’ co-owners. John sat down with Aktion to discuss the reasons he and Dominic selected Acumatica Construction Edition and their experience working with Aktion for their implementation.

Prior to Acumatica, John’s company was running QuickBooks Online Advanced. But John also has previous experience with Sage 100 Contractor (formerly Master Builder), so he knew this product probably wouldn’t meet their company’s specific needs. They also relied heavily upon Excel spreadsheets. John and his team were starting to find that modifying these complex spreadsheets was taking up way too much time. Reliance upon these spreadsheets also meant that they lacked the required accuracies and efficiencies required to manage the business.

Because of the complexities associated with the niche market of historic restorations, the ability to track costs and manage billing all in one place was extremely important. As John put it, “We really like to have those cost controls, budget controls and project level reporting where it’s easy to modify and access things. Acumatica lets us track costs down to the nail.”

We really like to have those cost controls, budget controls and project level reporting where it’s easy to modify and access things. Acumatica lets us track costs down to the nail.
John Smart | Smart Renovations
Co-Owner

Why Acumatica

John, Dominic and the team knew that Smart Renovations needed cost and budget controls within their new ERP. They considered CoConstruct as an option and knew that Sage had a new cloud-based option in Sage Intacct. But they liked the way that you could easily customize Acumatica to fit their needs and felt the other options weren’t the right for them.

“We kind of hit that borderline between a residential contractor, remodeler into more like a general contractor. Which means we’re just dealing with so much data and the reporting was so important to us. Acumatica just fit what we needed.”
John Smart | Smart Renovations
Co-Owner

Success through a systematic implementation process. Acumatica was the perfect fit for several reasons. As mentioned earlier, Smart Renovations has many remote users, so Acumatica’s true-cloud platform appealed to them. Their project managers use the product remotely to report and date the job costing. The ability to approve invoices digitally saves enormous amounts of time as well. Additionally, the real-time management of accounts receivable provides them with a visible cash flow benefit.

John was referred to Acumatica by Aktion’s CEO, Scott Irwin. And even with his business expanding so quickly, he felt the transition was completely seamless. Aktion made the implementation smooth and stayed ahead of the go-live with expectations and timelines. He has especially been impressed with the training that Aktion and Acumatica have provided his company going into the use of the new ERP platform. John recommended, “Focus on doing your homework and taking advantage of the Acumatica University to make the most of your purchase.”

Focus on doing your homework and taking advantage of the Acumatica University to make the most of your purchase.
John Smart | Smart Renovations
Co-Owner

Smart Renovations did a Go-Live Simulation of Acumatica with their application consultant three weeks prior to going live in the software. They started out with three people being trained to use it and then those people were able to train others. Data migration was managed properly so the business was functioning with as little disruption as possible while going live. John was especially impressed that Aktion was able to take a bunch of construction guys and teach them construction accounting.

John and Dominic are very happy with their Acumatica ERP purchase and with the job that Aktion did in training and implementing the product. They’re open to adding other modules down the road and open to hearing what is working well for other Acumatica users. With their remote use of Acumatica and the ability to have visibility into project costs, John is extremely pleased they made the move.

The complete end-to-end implementation of Acumatica by Aktion was perfectly executed.

Existing ERP Prevents Modernization

Bradford Products recently went live on Acumatica ERP, purchased from and implemented by Acumatica Gold Certified Partner, Aktion Associates.

Since 1982, Bradford has manufactured and installed stainless steel pools, spas, and water features in some of the most renowned facilities around the world. Peter Miller is Bradford’s Director of Operations. With Bradford Products for over 15 years, Peter has been responsible for and helped the company evolve from a “small shop mentality” into one that embraces technology to fuel growth and meet the demands of a sophisticated customer base.

In 2008, he introduced Bradford to ERP and led the implementation team for a system called Encompix. The system provided insight into all things manufacturing, but before go-live, the accounting department determined they’d keep the financial activities in QuickBooks. This created a big disconnect between the accounting department and the rest of the teams at Bradford. Peter remarked, “It got to a point that this (environment) just wasn’t sustainable.”

As a result, Bradford was looking for a complete ERP that integrated the financial activity (construction) and manufacturing. They needed a system that tracked financials, inventory, purchasing, job costing and labor more easily and completely.

Peter recognized the importance of having a team devoted specifically to selecting the best option to suit all of Bradford’s needs. Peter and his team evaluated leading ERP solutions and narrowed their choices to two: SAP and Acumatica. The team felt that Acumatica was just what they needed based upon the company’s size, complexity, and growth initiatives.

Acumatica brings all things under one umbrella. We liked that you could buy as much or as little as you wanted to fit
our current business needs.
Peter Miller | Bradford Products
Director of Operations

Why Acumatica

They selected Acumatica for its modern, comprehensive ERP features. There were many reasons Bradford thought Acumatica was the right fit for them. Acumatica won the Bradford group over with its user-friendly interface. Peter cited the freedom to select the modules that they needed was an attractive feature for them. “We liked that you could buy as much or as little as you wanted to fit our current business needs.”

We liked that you could buy as much or as little as you wanted to fit our current business needs.
Peter Miller
Director of Operations

They also liked the fact that Acumatica was being developed as a true-cloud solution. This meant that Bradford didn’t have the burden of maintaining servers and backing them up on a regular basis. Another appreciated factor was the regularly scheduled upgrade methodology that Acumatica adopts as well as the option to always be current on the newest release.

Partnership for success

Peter knew that ERP implementations were complex and challenging, but the Aktion team was there to help guide, inform and support them. Aktion’s Lean Implementation process contains specific steps that are designed to ensure a successful go-live. To that end, weekly meetings between Bradford and Aktion implementation teams were held to set milestones, convey timelines, and communicate expectations on both sides. One important aspect was to equip Aktion’s team with a good understanding of the workflows inherent to the Bradford processes and overall business.

Peter and his team continue to learn more about Acumatica functionality. They’re active in Acumatica user communities and have found this additional support to be helpful. Peter is looking forward to having their business functions conducted under one platform that provides real-time visibility into the health of their operations
